Summary

We are seeking an energetic and strategic person to join a small but passionate team. This position will work closely with department heads, finance, and operations on compliance, donor regulations, reporting, and business development. In addition, this role will work alongside the Partnership unit to ensure that grant-specific needs are being met by partners.

Responsibilities

  • Administer the full cycle of grants management activities, covering the call for applications, selection process, pre-award assessments, monitoring and evaluation, and compliance
  • Award and administer contracts and consultant agreements necessary to support the project
  • Ensure proper communication of the terms and conditions and their documentation for grants and contracts, including for grants to government bodies
  • Develop contract and grant award documents
  • Monitor and support grantees throughout the duration of the grant cycle
  • Prepare regular grant reports to be presented on the management, board of directors and donors
  • Respond to issues that arise during grant and contract program implementation including financial reporting, modifications, oversight of compliance with terms and conditions and resolution of disputes, and resolving audit findings
  • Work closely with the Director and department managers to research and review local organizations that will be awarded grants.
  • Ensure that all required documentation is available and stored as per the organization's regulations.
  • Assist with reviewing budget estimates for reasonableness and consistency
  • Work with the Marketing and Communications Coordinator to ensure documentation and visibility of the grantees and funded projects
  • Run regular grant monitoring meetings to ensure that grants are implemented in compliance with the organization and partner regulations, and to ensure strong financial management, proper operational openings and closings of grants, and monitoring and evaluation of programmatic progress.
  • Support the follow-up to action points from these meetings
  • Contribute to the development of strong data collection and monitoring and evaluation plans within each proposal, including well-designed log frames, indicators, and beneficiary counting, and ensure that project indicators are reported on as required
  • Conduct monitoring visits to field locations to observe and understand the progress of project implementation

Education and Qualifications

  • Bachelor’s degree in business administration, finance, project management or a related field

Requirements

  • 3-5 years of experience in project coordination, administration or management including organizing project plans and high-quality monitoring and project status reporting
  • Strong knowledge and prior experience in the arts and culture sector
  • Solid writing and interpersonal communication skills, with the ability to build and maintain rapport with a network of artists and culture-bearers
  • Able to work independently and manage multiple projects with initiative and follow-through
  • Must be highly organized and able to set priorities and meet deadlines
  • Proven Budgeting and financial planning and management knowledge and ability
  • Willingness to travel (nationally); work occasional evenings and weekends may be required
  • Fluency in English and Kiswahili, both speaking and writing
  • Proficiency in Microsoft Office programs, i.e., Excel, Word, PowerPoint, etc., graphic design and photo editing software experience an added advantage
