Personal Assistant
Summary
Reporting directly to the Managing Director and provide executive support in one on one working relationship. As a PA you will serve as a primary contact for internal and external matters pertaining to the office of the Managing Director. As a PA you will also serve as a liaison to the Board of Directors and Senior management Team, organize and coordinate executive outreach and external relations efforts and oversee special projects.
Responsibilities
SENIOR MANAGEMENT AND BOARD SUPPORT LIASON
- Complete a broad variety of administrative tasks for the Managing Director: including managing an extremely active calendar of appointments,
- composing and preparing correspondences to various external stakeholders.
- arranging complex and detailed travel plans, itineraries and agendas and compiling documents for travel related meetings.
- Provide a bridge for smooth communications between the Managing Director’s Office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff
- Successful complete aspects of deliverables with hand on approach, including drafting acknowledgment letters, personal correspondence and other tasks that facilitate the Managing Director’s ability to effectively lead the company.
- Prioritize conflicting needs, handles matter expeditiously, proactively and follow through on Projects to successful completion, often with deadline pressures.
- Act as the procurement person for all office expenditure i.e stationeries and other office miscellaneous etc
COMMUNICATION
- Ensure that the Managing Director’s and all Director’s Bio are kept updated and response for request material regarding the Directors and the organization in general.
STRATEGIC INTIATIVES
- Follow-up on contacts made by the Managing Director and support the cultivation of ongoing relationships.
Education and Qualifications
- Degree/Advance Diploma in Office Management /PA training
- 5 years’ experience in a similar role
Requirements
- Expert level written and verbal communication skills
- Demonstrates pro active approach to problem solving with strong decision-making capabilities
- Ability to write reports using MS Word, MS PPT, MS Excel
- Provide ability to handle confidential information with discretion
- Adaptable to various competing demands and demonstrate the highest level of customer/client service and response.
- Forward looking thinker, who actively seeks opportunities and proposes solution.
- Ability to Manage company records in an easily accessible and safe manner
- Ability to plan and execute office events such as social gatherings and other corporate events.
