Summary

The Head of Human Resources and Administration will provide overall assistance and direction for the company's Human Resources and Administration department. S/he is the point of contact for any employee-related issues. The responsibilities include overseeing activities such as job design, recruitment, employee relations, performance management, training and development, and talent management. As such, he or she is responsible for attracting, motivating, and retaining the most qualified people by supervising the administrative tasks of the HR department. As a result, the role is critical to corporate success. 

The role is responsible for ensuring that the company has a welcoming and effective workplace where everyone works together to achieve the set vision, purpose, and objectives. Promoting business principles and creating a positive culture are critical aspects of the job. 

Responsibilities

Human Resources

  • Develop and implement HR strategies and initiatives aligned with the overall corporate and business strategies.
  • Oversee the HR and Administration departments by providing leadership and ensuring strategic initiatives are implemented with a strong emphasis on Talent  acquisition and onboarding, learning and development, and retention of highcaliber staff.
  • Develop and oversee implementation of performance management system that drives high performance culture within the company.
  • Bridge management and employee relations by addressing demands, grievances, or other issues.
  • Drive organization training initiatives i.e., conduct Training Needs Analysis, Prepare Training calendar and oversee training implementation by planning and executing all training requirements. Conduct induction and orientation for new hires by ensuring smooth joining formalities.
  • In collaboration with Finance Department; prepare annual Human Resources and Administration budget to be presented to Board of Directors. Monitor and control Human Resources expenditures to align with budgetary constraints.
  • Managing compensation structures, benefits programs, and ensuring compliance with relevant regulations.
  • Support current and future business needs through the development, engagement, motivation, and preservation of human capital
  • Prepare relevant reports for the management in relation to performance management, employee turnover rate, new hires, resignations; training & development and People and governance committee and Board reports
  • Attend MANCO and Quarterly Board Meeting to present HR Agenda.
  • Ensure legal compliance throughout human resource management.
  • Perform day to day HR and Administration responsibilities. Maintains human resources records/database by manage (HRIS) system by making sure all data and employee’s information are updated.

Administration

  • Ensuring a safe and healthy work environment, including compliance with occupational health and safety standards.
  • Monitor and control administration expenditures to align with budgetary constraints.
  • Manage office supplies and inventory levels. Place orders for necessary supplies and equipment.
  • Supervise and lead a team Administrative Assistant and ensure proper Performance Objectives are set and KPIs. Provide guidance, training, and support to team members.
  • Oversee office facilities, including maintenance, repairs, and security. Coordinate with vendors and service providers for office-related needs.
  • Streamline and improve administrative processes for increased efficiency.
  • Maintain office services by organizing office operations and procedures.
  • Oversee procurement procedures within the company ensuring that goods and services are procured according to the plan, and most competitive prices are obtained.

Education and Qualifications

  • Proven working experience as HR Manager or Executive
  • Demonstrable experience with Human Resources metrics.
  • Knowledge of HR systems and databases.
  • Ability to architect strategy along with leadership skills.
  • Excellent active listening, negotiation, and presentation skills.
  • Competence to build and effectively manage interpersonal relationships at all levels of the company.

Requirements

  • Bachelor’s degree in human resources or related field with 8+ years of experience.
  • Master’s Degree will be added advantage.
  • Proven working experience as HR Manager or Executive.
